This policy explains how Empreinte Vie Inc. collects, uses, retains, shares, and protects personal information provided through its services, website, account area, and memory profiles.
1. Who we are
Empreinte Vie Inc. offers digital memory profiles, commemorative plaques and QR products, as well as support services designed to preserve and share stories, photos, videos, testimonials, and meaningful memories.

2. Personal information collected
We collect only the information needed to provide our services, process orders, create Empreinte profiles, and communicate with you.
- Your name, email address, phone number, and billing or shipping details when necessary.
- Information related to your customer account, orders, payments, and support requests.
- Information needed to create an Empreinte profile, including names, dates, texts, quotes, biographies, family connections, photos, videos, documents, preferences, and memories provided.
- Information relating to a commemorated person, a living person, or an animal, depending on the type of profile created.
- Technical information related to your browsing, such as IP address, device type, browser used, pages visited, and certain cookies.
We ask that you do not send sensitive information that is not necessary for creating or managing an Empreinte.
3. Information about other people
When you create an Empreinte, you may provide information about another person, such as a deceased person, a loved one, a family member, someone connected to the profile, or a pet.
By providing this information, you confirm that you have the right to do so or that you are acting with appropriate authorization when required. We treat this information with respect and confidentiality, even when it concerns a deceased person or an animal.
4. Use of information
We use personal information to:
- Create, manage, display, and update Empreinte profiles.
- Process signups, orders, payments, deliveries, and service requests.
- Produce or connect plaques, QR products, and commemorative items.
- Communicate with you about your account, a profile, an order, or a request.
- Provide support, guidance, and after-sales service.
- Improve our website, services, and user experience.
- Prevent fraud, abuse, errors, unauthorized access, and security incidents.
- Comply with our legal, tax, accounting, or regulatory obligations.
We do not use your personal information for purposes incompatible with those described in this policy without obtaining your consent when required.
5. Payments and transactions
Payments made on our site may be processed by secure third-party payment providers, including solutions used with WooCommerce or any other payment provider connected to the site.
Empreinte Vie Inc. does not store full credit card numbers on its servers. We may, however, retain certain transaction-related information such as the amount paid, product purchased, order date, order status, and details required for billing.

As part of our partner program, an authorized partner such as a funeral home, veterinary clinic, representative, or other provider may send us certain basic information, including a client’s name and email address, so that we can send an Empreinte invitation and track its status.
When a partner invitation is used, we may also retain and process certain information related to that referral, such as the partner code, unique invitation link, send date, open date, signup date, first eligible conversion date, subtotal before taxes, discount applied to the client, and commission attributable to the partner. This information is used for program administration, commercial follow-up, validation of applicable benefits, abuse prevention, and our accounting and contractual obligations.
When the primary account holder invites a loved one to collaborate on an Empreinte, we may use the invited person’s email address to send a secure invitation link, manage acceptance, track access status, and retain a reasonable history of actions related to that invitation. If access is removed by the primary account holder, the invited person can no longer modify the profile concerned.
8. Retention and security
We retain personal information only for as long as necessary for the purposes for which it was collected, unless a longer period is required or permitted by law.
- Account information is retained for as long as the account remains active.
- Order information may be retained to meet tax, accounting, and legal obligations.
- Content linked to an Empreinte is retained for as long as the profile remains active or until an approved deletion request is processed.
- Contact requests are retained for as long as needed for follow-up.
- Data related to partner invitations and commissions may be retained as long as necessary for program administration, contractual follow-up, and applicable accounting, tax, or legal obligations.
We implement reasonable measures to protect personal information against loss, theft, unauthorized access, misuse, alteration, or unauthorized disclosure. However, no method of transmission or electronic storage is completely secure.
9. Public and private profiles and QR codes
Some Empreinte profiles may be publicly accessible, particularly when linked to a URL or QR code. Depending on available options, a profile may be public or password-protected.
It is your responsibility to choose what information you want to make visible in a public or shared profile. Before publishing photos, texts, videos, or information about other people, make sure you have the right to do so.
10. Hosting and processing outside Quebec or Canada
Some technology providers may host or process information outside Quebec or Canada. When this occurs, we take reasonable measures to ensure that personal information benefits from adequate protection, in accordance with applicable laws and relevant contractual practices.
11. Your rights
Under applicable laws, you may have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate, incomplete, or ambiguous information.
- Withdraw your consent when processing relies on your consent.
- Request deletion of certain information when possible.
- Submit a question or complaint regarding our handling of personal information.

12. Withdrawal of consent
You may withdraw your consent to certain uses of your personal information, subject to applicable legal or contractual obligations. However, withdrawing consent may limit our ability to provide certain services, such as managing an account, an order, or an Empreinte profile.

Our site may contain links to external websites, such as payment platforms, video platforms, social media sites, or other third-party services. Empreinte Vie Inc. is not responsible for the privacy practices of these external websites. We encourage you to review their privacy policies.
14. Children’s privacy
Our services are not directed to children under 14 without the authorization of a parent, guardian, or authorized representative. If information concerning a child is provided as part of an Empreinte, the person providing it confirms that they have the necessary authorization.

If a privacy incident involving personal information occurs, we will take reasonable measures to limit risks, assess the situation, and notify affected individuals and competent authorities when required by law.
